Woodland Rangers – Terms & Conditions
Agreement
By making a booking with Woodland Rangers, you agree to the following Terms and Conditions. This forms an agreement between Woodland Rangers and the parent/guardian named on the booking.
1. Bookings & Payments
- Your place is only secured once payment has been received.
- We reserve the right to refuse bookings and will refund any payments made if this occurs.
- All bookings are made in advance and confirm acceptance of these Terms and Conditions.
2. Pricing
- We aim to keep prices affordable but may adjust them due to unforeseen costs.
- Any price changes will only apply to future bookings (not existing ones).
- For parties/private sessions, final numbers must be confirmed before final payment. Changes after this are not refundable.
3. Cancellations & Refunds
- Block bookings: These are significantly discounted and are non-refundable and non-transferable.
- PAYG (one-off sessions): If you cannot attend, a credit may be offered at the discretion of Woodland Rangers.
- We run sessions outdoors in all weather (rain, cold, heat, etc.). Choosing not to attend due to weather does not qualify for a refund.
Session cancellations by Woodland Rangers:
- If conditions become unsafe (e.g. dangerously high winds), sessions will be cancelled.
- PAYG bookings: credit to rebook another session.
- Block bookings: credit or money off a future block.
- If we cancel due to staff illness or other unforeseen circumstances, we will offer an alternative or appropriate credit.
- If numbers are too low to run a session, we may cancel and offer an alternative or refund.
4. Outdoor Environment & Conduct
- Sessions take place outdoors in all weather—appropriate clothing is essential.
- We are not responsible for issues caused by unsuitable clothing.
- All attendees must behave respectfully. Bullying, unsafe behaviour, or abuse will not be tolerated.
- We reserve the right to refuse entry or remove participants for unsafe or inappropriate behaviour (no refund given).
- No smoking, vaping, or offensive language on site.
5. Activities, Tools & Fire
- Children may have opportunities to use tools and take part in fire activities.
- A safety briefing will always be given before use.
- Children must follow instructions at all times.
- If instructions are not followed, tools/fire access will be removed immediately.
- This is necessary for safety and to comply with our insurance and risk assessments.
6. Health, Safety & Risk
- Forest School involves managed risk as part of learning.
- We carry out risk assessments and safety checks before every session.
- Our team is fully qualified in Forest School leadership, first aid, and safeguarding.
- In the event of an accident or safeguarding concern, we will act appropriately and may contact emergency services if required.
7. Allergies & Medication
- You must provide accurate medical and allergy information during booking.
- Outdoor environments carry natural risks (e.g. plants, insects).
- Required medication (e.g. inhalers) must be brought to sessions—failure to do so may result in refusal of entry (no refund).
- Parents/carers are responsible for administering medication during sessions where they are present.
- If a nut allergy is present, we will ask that no nut products are brought on site.
8. Photos & Devices
- We may use photos/videos for promotional purposes unless you opt out during booking.
- Personal devices should not disrupt sessions. Misuse may result in temporary removal.
- Please avoid photographing other children without permission when sharing images.
9. Complaints
- We take complaints seriously and aim to resolve issues promptly and professionally.
- Please speak to a Forest School Leader at an appropriate time or contact us via email.
- Formal complaints should be submitted in writing within 28 days.
10. General
- Woodland Rangers reserves the right to make decisions in the best interest of safety, participants, and the running of sessions.
